Job Summary
We seek an experienced HVAC Project Administrator to join our San Francisco, CA team. This role is crucial for ensuring the smooth coordination of commercial HVAC projects from inception to completion. The ideal candidate will have extensive experience in the commercial HVAC industry and a proven track record of stable and local work history.
Key Responsibilities
- Manage and coordinate all aspects of commercial HVAC projects, including scheduling, resource allocation, and communication with stakeholders to ensure timely and successful project delivery.
- Maintain accurate project documentation using industry-standard software tools, including contracts, submittals, change orders, and project close-out materials.
- Serve as the primary point of contact for clients, providing regular updates on project status, addressing concerns, and ensuring high customer satisfaction.
- Coordinate with vendors and subcontractors to secure necessary materials and services, ensuring the adhesion to project timelines and budgets.
- Provide comprehensive administrative support to project managers, including preparing reports, handling billing and invoicing, and assisting with project financial tracking.
- Minimum of 5 years of experience as a project administrator, service coordinator, or dispatcher in the commercial HVAC industry.
- In-depth understanding of commercial HVAC systems, including chillers, boilers, and building automation systems.
- Strong proficiency in project management software, such as MS Project, Bluebeam, and Autodesk, and the ability to adapt quickly to new technologies.
- Candidates must have a stable work history within the San Francisco Bay Area, with a demonstrated ability to manage multiple projects in a fast-paced environment.
- Excellent verbal and written communication skills, with the ability to effectively interact with clients, team members, and external partners.
- Familiarity with HVAC-specific software tools and platforms.
- Prior experience working with recognized commercial HVAC companies in the Bay Area.
- Strong organizational skills with an attention to detail.
