Job Summary:

As a Marketing and Proposal Assistant, you will play a crucial role in supporting the marketing and sales efforts of our commercial HVAC distribution company. Your primary focus will be on building compelling proposals and presentations for our customers. The ideal candidate will be highly organized, detail-oriented, and possess strong communication and design skills.

Key Responsibilities:

  1. Collaborate with the sales team to develop and produce targeted sales materials, such as proposals, presentations, and brochures, to effectively showcase our products and services.
  2. Assist in the development and execution of marketing campaigns and strategies, including digital, print, and event marketing efforts.
  3. Coordinate and manage social media accounts, ensuring consistent brand messaging and engagement with followers.
  4. Conduct market research to identify industry trends, customer needs, and competitor activities to inform proposal development.
  5. Work closely with internal teams, including sales, engineering, and product management, to gather the necessary information for proposal creation.
  6. Organize and maintain a library of proposal templates, graphics, and other resources to streamline the proposal development process.
  7. Proofread and edit proposals and presentations to ensure accuracy, consistency, and adherence to brand guidelines.
  8. Assist in the organization and execution of trade shows, conferences, and other promotional events.


  1. Bachelor's degree in Marketing, Business, Communications, or a related field.
  2. 1-2 years of experience in marketing, sales support, or a similar role, preferably within the commercial HVAC industry.
  3. Strong written and verbal communication skills, with the ability to effectively present information to various audiences.
  4. Proficiency in Microsoft Office Suite, particularly PowerPoint and Word, as well as graphic design software such as Adobe Creative Suite.
  5. Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  6. Strong attention to detail, ensuring the highest quality in proposal and presentation materials.
  7. Ability to work independently and as part of a team, demonstrating flexibility and adaptability.
