Job Summary:

The ideal candidate will have a strong background in coordinating and collaborating with service technicians and facilities managers, particularly in managing maintenance and emergency service maintenance requests for commercial HVAC systems.

Responsibilities:
  • Receive and manage maintenance and emergency service requests from facilities managers, clients, and technicians.
  • Coordinate and schedule service technicians for maintenance, repairs, and emergency service calls, ensuring efficient use of resources and timely response to client needs.
  • Prioritize service appointments based on the urgency of requests and technician availability.
  • Maintain clear and efficient communication with service technicians, providing detailed work orders and instructions for each service call.
  • Monitor technician progress, ensuring timely arrivals and completion of service tasks.
  • Keep comprehensive records of service appointments, including work performed, time spent, and materials used.
  • Address service-related issues or changes to the schedule promptly and professionally.
  • Collaborate with facilities managers and clients to provide updates, resolve issues, and maintain high levels of satisfaction with service quality.
  • Assist in managing inventory of spare parts, tools, and equipment to support service technician needs.

Qualifications:
  • Proven experience in coordinating and collaborating with service technicians, particularly in a commercial HVAC service context.
  • Strong knowledge of HVAC systems, industry terminology, and maintenance procedures is a plus.
  • Exceptional organizational skills with the ability to manage multiple service requests and appointments concurrently.
  • Excellent communication and interpersonal skills for effective interaction with technicians, facilities managers, and clients.
  • Problem-solving abilities and adaptability to handle unexpected situations and changes in scheduling.
  • Proficiency in service management software and dispatching systems.
